Workplace Posting Requirements in Ontario
To make sure workers are informed about their rights and responsibilities, inform workers of potential hazards, and provide access to internal and external health and safety resources, most workplaces in Ontario are required to distribute or display posters and other information.
What Are Employers Required to Post?
While posting requirements vary depending on an organizations size, industry, and the nature of the work being performed, the most common requirements include:
Employment Standards Act (ESA) Requirements
1. Employment Standards in Ontario Poster
Helps employees and employers understand their rights and obligations under the ESA. Must be provided to workers in print, email, or digital format, and in the employee’s preferred language if available.

2. Information Sheets
Employers are also required to provide employees with one or more information sheets:
- before the employee agrees to work more than the daily or weekly limits on hours of work
- if the employee is a temporary help agency assignment employee
- if the employee is a foreign national and the employer did not use the services of a recruiter in hiring the employee
Occupational Health and Safety Act (OHSA) Requirements
3. Health and Safety at Work Poster
Outlines the rights and responsibilities of workers, supervisors and employers under the Occupational Health and Safety Act. Must be displayed prominently, in English and the majority language of the workplace.

4. A Copy of the Occupational Health and Safety Act
Employers are required to post a copy of the Occupational Health and Safety Act in their workplace.

5. Workplace Joint Health and Safety Committee (JHSC) Information
Required for workplaces with 20 or more workers, the names and work locations of members must be posted in a place where they are easy for employees to find.
Workplaces with under 20 workers are not required to have a JHSC unless a designated substance regulation applies.
6. Health and Safety Policies
Workplaces with 5 or more regularly employed workers are required to prepare, maintain and post health and safety, workplace violence and workplace harassment policies every year.
7. Workplace Safety and Insurance Act (WSIA) Requirements
In Case of Injury Poster (1234) (Form 82)
Outlines the steps workers and employers need to take if there is an injury at work. Must be displayed prominently in English and the majority language of the workplace.

8. Health and Safety Policies
Under the Occupational Health and Safety Act, employers must prepare and review written occupational health and safety, workplace violence and workplace harassment policies.
If a workplace has five or fewer regularly employed workers, they do not need to put the policies in writing, unless ordered by an inspector.
9. No Smoking / No Vaping Signs
Under the Smoke-Free Ontario Act, “No Smoking,” “No Vaping,” or dual signs must be posted at all building entrances, exits, and washrooms,

Additional Posting Requirements
- Ministry of Labour Inspection Reports & Orders – If issued, must be posted in the workplace.
- Designated Substance Exposure Information – Workplaces handling designated substances must display monitoring results and exposure levels.
Avoid Non-Compliant Posters
Posters sold by private companies do not meet Ontario’s legal requirements. Ensure all postings come from official sources such as the Ministry of Labour, WSIB, or ServiceOntario.
